The Old Mart Gym is operated by Maud Village Trust, a registered community charity. We are committed to protecting the privacy of our members and visitors.

Name, address, email, phone number
Date of birth and emergency contact
Medical / health information for safe exercise participation
Membership and attendance records
CCTV footage for safety and safeguarding
Payment records (cash / Clover / standing order records – no card details stored)

Exercise referral forms
ClubRight system
Class bookings and attendance
CCTV monitoring
4. Why We Collect Data (Legal Basis)
We collect data under legitimate interest, consent, and legal obligation, in order to:
Provide safe gym access
Administer memberships and bookings
Support exercise referral programmes
Comply with safeguarding and health & safety obligations
5. Health Data (Special Category Data)
Health information is collected solely to ensure safe participation in exercise and is handled confidentially.
6. Payment Processing
We accept cash, Clover payments and standing orders.
We do not store or process card details ourselves. Card data is securely handled by the external payment provider.
7. CCTV
CCTV operates for safeguarding and security. Footage may be shared with authorities when legally required.
8. Data Retention
We retain data only as long as necessary for the original purpose and legal obligations.
9. Children & Young People
Ages 13–15 require parental consent and adult supervision. Youth data is managed with enhanced safeguarding care.
10. Your Rights
You have the right to request access, correction or deletion of your personal data, or to restrict processing in line with GDPR.
11. Sharing of Data
We do not sell personal data.
We share data only when:
Required by law (e.g. safeguarding / police)
Necessary for payment processing
With your consent for referral purposes
